Most SharePoint Setups Become Messy Because They Were Never Planned Properly
A lot of businesses move files into SharePoint without a clear structure. Folders are copied over, Teams are created quickly, permissions are added when someone asks, and before long nobody is fully sure where files live or who has access.
This leads to confusion, security risks and wasted time. Staff cannot find what they need. Managers are unsure who can see sensitive documents. New starters are difficult to set up. Leavers are harder to remove safely. SharePoint works best when it is planned around how your business actually works.

TRADITIONAL SHAREPOINT SETUP
SharePoint Built Around Your Departments
A proper SharePoint setup starts with structure.

We design SharePoint around your departments, people and permissions, so your business has a clear place for files, knowledge and internal processes. That usually means creating the right mix of department areas, shared spaces, communication sites, document libraries and permissions. The goal is to make it obvious where files should live, who should access them, and how staff should work across the business.
Department-based structure that stays organised
Team sites and communication sites used correctly
Secure permissions and controlled sharing
New starter and leaver access made clearer
Microsoft 365 groups structured properly
Designed to scale as your business grows
SHAREPOINT X POWER PLATFORM
When SharePoint Meets Power Platform
SharePoint gives your business the structure for files, lists and permissions. Power Apps, Power Automate and Power BI then build on that structure to turn it into simple business apps, workflows and reporting.
Together, they help bring your documents, data and day-to-day processes into one cleaner Microsoft 365 setup.

SharePoint Standardization Process
Stage 1: Map Out Your Existing Setup or Plan the New Layout Based on Departments
Begin by analyzing your current SharePoint setup or planning a new layout from scratch. We work closely with you to map out the structure of your organization, focusing on department-specific needs. This foundational step ensures that your SharePoint environment is organized in a way that reflects how your teams work, enabling efficient collaboration.
Stage 2: Create the New Hub Navigation
We design and implement a new Hub Navigation in the background. This is modeled on best practices observed in leading enterprises, ensuring that your SharePoint environment is both user-friendly and scalable. The new navigation structure will streamline access to important resources across departments, setting the stage for a more organized and accessible SharePoint experience.
Stage 3: Build Department Sites
Based on the plan developed in Stage 1, we create specialized department sites. Each department will have two types of sites: one for sharing and collaboration, where team members can work together seamlessly, and a communication site that is securely locked down for department-specific information. This dual-site approach helps balance collaboration with security.
Stage 4: Implement and Test Access Levels
We gradually introduce new folders into the department sites, meticulously testing access levels to ensure that each team member has appropriate permissions. This stage is also a prime opportunity to educate your teams on how to use the new SharePoint environment, making sure they understand the importance of secure collaboration.
Stage 5: Customize and Secure External Sharing
Finally, we create external links and build customized tiles for easy site navigation. To facilitate secure external sharing, we establish a safe area within your SharePoint environment. This allows you to collaborate with external partners while keeping your internal data protected.
